Executive Assistant – Hybrid Private Investment Firm (Charleston, SC) – $90-115k+B and fully paid benefits

A well-established Private Investment Office is seeking a polished, proactive, and highly organized Executive Assistant to join its Charleston, SC office. This is an excellent opportunity for a resourceful administrative professional who enjoys working closely with senior leadership in a professional, collaborative, and relatively low-key environment.

The Executive Assistant will provide high-level administrative support to two Partners, managing calendars, travel, expenses, and day-to-day logistics while also helping ensure the smooth operation of the boutique office. The ideal candidate is personable, detail-oriented, technologically savvy, and confident working independently. Someone who brings experience from a fast-paced investment firm or similarly demanding professional environment, but is seeking a position with a more predictable schedule and strong work-life balance, would be particularly well suited.

Responsibilities:

  • Provide comprehensive executive support to senior leadership, including complex calendar management, scheduling, travel coordination, and meeting preparation.
  • Arrange domestic and international travel, including flights, accommodations, ground transportation, itineraries, and related logistics.
  • Prepare, submit, and reconcile expense reports, ensuring accurate documentation and timely processing.
  • Anticipate executive needs, proactively manage competing priorities, and ensure seamless day-to-day administrative support.
  • Coordinate meetings, including conference room preparation, catering, technology, and other logistical arrangements.
  • Assist with general office operations, including vendor coordination, supplies, inventory, and maintaining an organized, welcoming environment.
  • Serve as a point of contact for visitors, vendors, and external business associates.
  • Coordinate occasional personal and household-related logistics for the Principal as needed.
  • Handle confidential information and sensitive matters with the utmost discretion.
  • Identify opportunities to streamline administrative processes and improve overall efficiency.

Qualifications:

  • Prior Executive Assistant experience supporting senior executives, ideally within an investment firm, family office, financial services firm, or similarly high-touch professional environment.
  • Exceptional organizational skills, attention to detail, and ability to manage multiple priorities simultaneously.
  • Polished, personable, and professional demeanor with strong written and verbal communication skills.
  • Highly resourceful, proactive, and comfortable taking ownership of responsibilities with minimal oversight.
  • Strong technical proficiency, including Microsoft Outlook, Excel, and general office productivity tools.
  • Experience coordinating complex travel, managing executive calendars, and processing expense reports.
  • Strong problem-solving abilities and sound judgment, with a natural inclination to anticipate needs rather than react to them.
  • A positive, team-oriented attitude, strong interpersonal skills, and the flexibility to assist wherever needed.
  • Ability to exercise discretion and maintain confidentiality at all times.

Base Salary: $90k- $115k plus bonus, fully paid benefits, and 401k
